1. Who we are
HPP-Track is developed and operated by Hill's Panel Products Limited, registered in England and Wales under company number 02563787. We are based in Oldham, United Kingdom and are responsible for the personal data described in this policy. HPP Systems is the Google Play developer name used by Hill's Panel Products Limited.

2. Where this policy applies
This policy applies to the HPP-Track Android app, the HPP-Track web service at hpp-track.online, and customer delivery tracking and messaging pages provided by that service. HPP-Track accounts are issued to authorised users; the app does not offer public account creation.
3. Data we collect
Account and profile data
Your name, username, authentication information, role, branch, optional profile picture, app installation identifier, device name, session details and push-notification registration token.
Delivery and operational data
Assigned jobs, addresses, contact details, routes, ETAs, departure and completion times, vehicle safety-check responses, delivery notes, proof-of-delivery recipient names, signatures, photos and job status changes.
Messages and photos
Messages exchanged with HPP-Track users or customers, message timestamps and read status, and any photo attached to a message. Deleting a message in the Android app hides it for your account; it does not remove the other participant's copy or records that must be retained.
Location data
Location records can include latitude, longitude, time and accuracy. They are used to improve delivery ETAs, show customers a map marker for your location during their delivery, display route progress, and help HPP manage and support delivery operations, including route progress and on-duty activity. The customer marker is generally approximate but may become more precise as the delivery approaches. When offline, records are stored on the device and uploaded when a connection is available.
Technical and usage data
Connection and request information such as IP address, app and device details, identifiers, timestamps, synchronisation state and diagnostic information needed to operate, secure and support the service.
Where data comes from
Data is provided by you, generated through your use of HPP-Track, supplied by Hill's Panel Products' business systems and staff, or provided by customers using delivery tracking and messaging features.
4. How and why we use data
- to authenticate users and keep the app working securely;
- to assign, route, complete and record deliveries and collections;
- to provide ETAs, customer tracking, delivery updates and messaging;
- to record proof of delivery and vehicle safety checks;
- to manage on-duty route progress and delivery performance;
- to provide offline operation and synchronise work when connectivity returns;
- to investigate faults, provide support, prevent misuse and protect the service; and
- to meet contractual, employment, safety, record-keeping and legal requirements.
The lawful bases we rely on under UK data protection law are our legitimate interests in operating, managing and securing delivery services, performance of contractual and employment-related obligations, and compliance with legal obligations where applicable. Core on-duty processing is not based on consent. HPP-Track calculates routes, ETAs and operational summaries, but does not make solely automated decisions that have legal or similarly significant effects on individuals.
5. Who can access or receive data
- authorised HPP personnel who need it for delivery operations, together with HPP-Track developers, support and technical staff;
- customers tracking a relevant delivery, who may receive the driver's first name and profile picture, approximate location, ETA, delivery status, messages and delivery confirmation information;
- service providers used to host and operate HPP-Track, deliver push notifications and emails, provide maps, and support the service, including Google Cloud and Firebase; and
- regulators, law enforcement or other parties where disclosure is required by law.
We do not sell personal data and HPP-Track does not contain third-party advertising. Service providers are permitted to process data only as needed to provide their services. Some providers may process data outside the United Kingdom; where this occurs, appropriate legal safeguards are used.
6. Storage and security
We use safeguards appropriate to the data and service, including encrypted HTTPS connections, authenticated access, role-based access controls and restricted administrative access. The Android app stores offline data and attachments in its private app storage and protects its renewable session token using Android Keystore. No internet transmission or storage system can be guaranteed completely secure.
7. Retention and deletion
Data is retained for as long as required for operational, support, legal and record-keeping purposes. The period depends on the type of record, whether it forms part of a delivery or employment record, and any legal or dispute-related requirements. Device copies may remain while awaiting synchronisation; clearing app data or uninstalling the app removes its local copy but does not delete server records.
To request deletion of your account or personal data, email hpp-track@hpponline.co.uk. We will assess and action requests in accordance with applicable law and any records we are required to retain. 8. Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict the use of your personal data, and to receive certain data in a portable format. You can make a request using the contact address above.
You have the right to object to processing based on legitimate interests. We will consider your circumstances and whether there are compelling legitimate grounds to continue.
You can also complain to the UK Information Commissioner's Office at ico.org.uk.
9. Children
HPP-Track is a business delivery application for authorised workers and customers. It is not directed to children and is not intended for use by anyone under 18.
10. Changes to this policy
We may update this policy when HPP-Track or legal requirements change. The date at the top identifies the latest version. Material changes will be communicated through an appropriate channel.
